Necessary Actions Prior to Camp

Ensemble Placement Recording

Returning Campers: please send one short video recording for your Ensemble Placements to Nathan by May 1st.

New Campers: Recordings are due no later than a month after you submit your application, or by May 1st. If you applied earlier in the year, you can feel free to send us an updated recording in May.

The Recording Directions:

1) 1 solo piece that demonstrates your tone, intonation, and phrasing.

2) At least 2 major or minor scales that demonstrate your range.

  • PLEASE SUBMIT A RECORDING FOR PRIMARY AND SECONDARY REGARDLESS OF THE LEVEL OF EXPERIENCE. If you can’t meet all the recording requirements above, still send us in an example of your camper’s singing or playing. Never taken a lesson? We still want to hear you! These recordings ensure that your camper’s first lesson isn’t just a ‘get to know you’ lesson, but rather a planned lesson catered to the level of your camper. 
  • You do not need fancy equipment for this; you can make the recording directly on your phone. It is very helpful if you can put the phone on something to hold it steady, and make the recording in a well lit, quiet space. Please record everything you are going to play into one video with one link. Please do not send multiple video links. Check the privacy settings of all videos to ensure that we have access to the videos. 
  • These recordings will be used for placement in large as well as small ensembles, so we would like to have recordings from pianists who are electing chamber music, along with everyone else participating in any ensemble.

When you are done, please upload your video to one of the common streaming platforms, such as Youtube, Vimeo or so many others, and mail the link for the recording to Nathan (nathan@encorecoda.com). Please do this before June 1st. Please do NOT send the video directly in an email because those large video files completely clog up our email connection. This is particularly true once we are at camp, where our internet connection is quite slow. Please record everything you are going to play into one video with one link. Please do not sent multiple video links. Check the privacy settings of all videos to ensure that we have access to the videos. 

Musical Theater Campers

MUSICAL THEATER AUDITION:

If your child will be participating in Upper Camp musical theater, they should prepare to sing 16 bars of a ballad and 16 bars of a more up-tempo song.  This audition will take place AT CAMP. We ask that they perform it from memory and that they choose the 16 bars that best show off what they can do. It is best if they can bring a copy of the music to the audition for the accompanist. We look forward to hearing their beautiful voices!

Lower Campers do not need to prepare an audition.

THEATER SUPPLIES:
If you have elected to be in musical theater this summer, please bring the following commonly available items with you to camp. Having these items with you when you arrive will save a lot of time and effort during camp, especially leading up to the performance on Parents’ Day.

  • A pair of casual closed-toe shoes for rehearsal (Sneakers are fine. This really becomes a safety issue during rehearsal. In other words – no sandals or flip-flops)
  • A pair of black closed-toe shoes for the performance
  • One all-black outfit for the performance (no jeans, please)
Label All Clothing

Since your camper will be living with others, and laundry is done off camp, we highly recommend labelling all clothing and other items. You may do so using a fabric sharpie, or you may want to order a stamp here.

About Family & Friends Day

Family & Friends Days take place on the final FRIDAY of 1st Session (July 18th) and the final SATURDAY of 2nd Session (August 9th) and feature performances and workshops by all of our performing ensembles including theater groups. At any given time, several ensembles are likely to be performing in different locations, and many campers participate in several ensembles. We coordinate the overall schedule of the day carefully so that campers can get in all of their performances without conflicts.

  • No dogs are allowed on camp during Family Visiting Days 
  • We do have a limited number of accessible parking spaces available near the Administration Building, please let us know in advance if you will need to use these so we can plan ahead.
  • Families should take a rapid test on the morning of Family Day. Please stay home if you test positive or if you are feeling unwell

Travel Details By Date

Wednesday, June 25th – 1st Session 

AUTOMOBILE—June 25 arriving—Families planning to bring their child to camp by car will be met at the front gate by camp staff who will direct them to the initial health screening and luggage drop-off.  Families are welcome to walk around Camp with their campers, see their cabin and meet their counselors, and have snacks in our dining hall. Please plan to arrive according to this arrival schedule:

                                1:00 pm – Seniors & CITs (finished grades 9-11)
                                2:30 pm – intermediates (finished grades 7 & 8)
                                4:00 pm – lower campers (finished grades 3-6)
                                Siblings in different groups may choose either time 

PLANE—June 25 arriving – All campers traveling by plane to the Portland, ME airport (PWM) will be met by uniformed camp staff members as close to the gate as possible, depending on security restrictions. Our staff will help campers with their luggage and get them settled on the van to camp. We strongly recommend that all flying campers be designated as “unaccompanied minors” so that they will be actively supervised by airline personnel at all times.

Wednesday, July 19th – Staccato 1 Departure

AUTOMOBILE—July 9 departing – Parents planning to pick up their child at camp should do so at 10 AM at their cabin. Please check in with the office or a staff member upon arrival. Please do not arrive before 10 AM.

Saturday, July 19th – 1st Session Departure

AUTOMOBILE—July 19 departing—Parents planning to pick up their child at camp should plan to do so between 9 AM–11 AM. Please pick your child up no later than 11 AM.

Air Travel Details

        

  • We have chosen Portland Airport (PWM) as the pickup/drop-off point because it is the closest commercial airport to camp, allows us excellent flexibility, and should make for the least possible camper waiting time. 
  • All flights arriving from campers’ home cities should terminate at Portland, Maine (PWM). Campers will be met as they deplane by camp staff members, and then travel to camp aboard a charter bus or van. The bus trip from Portland takes about 1-¼ hours. We strongly recommend that you utilize the “unaccompanied minor” escort service provided by most airlines to insure your child’s supervision during all legs of the flight.
  • All flights departing to campers’ home cities will originate from Portland, Maine. Our staff members will supervise all campers from the time they depart camp until their plane takes off. We strongly recommend that you utilize the “unaccompanied minor” escort service provided by most airlines to insure your child’s supervision during all legs of the flight.  
  • Please note that the arrival/departure ‘window’ at Portland is between 12:00PM and 3:00PM. Earlier or later than these times can generally be accommodated, but it is much better if you can schedule your flight to arrive or depart within this window.  
  • As a flyer, your camper will be riding a charter bus or van between camp and the airport, and a charge of  $75 for this service will be added to your June bill. 
  • On departure day, please plan to arrive at the airport in plenty of time to check your camper’s luggage through to its final destination, being certain that every piece of luggage is marked clearly with name, address and tel. # of your home and that of the camp.  For specific luggage limitations please contact your airline. All baggage claims should be stapled to tickets.
  • Campers should carry small or medium-sized instruments onto the plane with them.  Airlines usually include these as part of the carry-on luggage. For larger instruments you should consult with your airline. We recommend that you check with you camper’s private teacher regarding preparation and packing of instruments for air travel or shipping. 
  • Campers who are flying are urged to wear their Encore/Coda shirt so that they can be more easily recognized by the staff members who will be greeting them. 
Bus Travel Details

CHARTER BUSES—June 25 and July 20 arriving – please note the following departure and safety information. In all cases, look for a large commercial bus labeled WILSON BUS LINES. There is room for all campers’ luggage and instruments on the buses. Each bus will have an additional Camp Encore/Coda staff member for safety, coordination, and supervision.

 
Parents meeting the June 25 or July 20 CONNECTICUT charter bus should do so either at the Whole Foods (150 Ledge Rd, Darien, CT 06820) parking lot off Exit 11 on I-95 in Darien or at Exit 46 in New Haven as follows:
 
    DARIEN, CT:  9:00 AM
  • Coming from the SOUTH: Take I-95 North to Exit 11 in Connecticut. After exiting turn left at the  bottom of the ramp on to Rte. 1 Boston Post Road followed by your first left onto Ledge Rd. Ledge Rd. also serves as the entrance ramp onto I-95 south, so there will be signs directing you toward I-95 south.  The Whole Foods will be on your right.  Proceed to the back of the parking lot to find the bus, marked “Wilson Bus Lines”. 
  • Coming from the NORTH: Take I-95 south to exit 11 in Connecticut.  At the bottom of the exit ramp, continue straight at the traffic light following sings for the entrance to I-95 south onto Ledge Rd.  Whole Foods will be on your right shortly after the intersection.  Proceed to the back of the parking lot to find the bus, marked “Wilson Bus Lines”
  • Campers should bring lunch money.
    NEW HAVEN, CT:  10:00 AM
  • NORTHBOUND OR SOUTHBOUND Route 95, Exit 46 [Sergeant Drive/Long Wharf Drive -351 Long Wharf Dr], at the New Haven Visitor Information Center, on Long Wharf.  The phone number of the information center is: 203-777-8550. Campers should bring lunch money.
Parents meeting the June 25 or July 20 LEXINGTON charter bus should do so at the Rt. 128 roadside stop in Lexington, MA, off the northbound lane, between 46B (Old Exit 30) and 46A, at the southern end of the parking lot, at 1:30 PM. For GPS, you can use the address 690 Marrett Rd, Lexington, MA 02421.
 
Bus/Van Safety Guidelines – please review with your camper
  1. Do not approach any bus that is or may be still moving or parking. Please wait to approach until the bus has plainly come to a full stop, and staff members have opened the luggage bay doors. 
  2. Wait until directed by a camp staff member to move any luggage onto or off of the bus, or to board or disembark the bus. 
  3. While on the bus, please stay in your seat, and be considerate of your neighbor. 
  4. Do not rap on the side windows, play loud music, or act in any way that will annoy others. 
  5. Should you need something or not feel well, raise your hand and/or call to the staff person at the front of the bus for assistance. 
  6. Should the bus pull over for any sort of emergency, listen carefully to the instructions of the staff person and/or the driver, and follow those instructions immediately without comment.

FAQs

Do You Have Laundry Service?

LAUNDRY:
Our laundry service will be picking up weekly and delivering the clean clothes back to us two days later. Your camper should therefore arrive at camp with a 10–12 day supply of laundry, including clothes for a fairly wide range of temperatures, as well as wet and dry conditions. Since the laundry provides the actual laundry bags, you do not need to include bags. The laundry does an excellent job for us, but sometimes a piece of clothing does get lost in the shuffle. We therefore advise you NOT to send very expensive clothing to camp for general use.

How Do I Ship Items To Camp?

SHIPPING:

  • You may ship clothes, instruments or other items directly to us at camp anytime after June 1.
  • At the end of each session, we will be happy to ship back to you any items that you wish, whether or not you shipped them to us originally, and bill you afterwards.
  • We recommend United Parcel Service (UPS), who deliver and pickup at camp almost daily. They operate regionally, so look for their local number in your directory, or you can try them at 800-742-5877.
  • Please ship to: Camp Encore/Coda, 50 Encore-Coda Lane, Sweden, ME 04040. We strongly recommend shipping your child’s luggage ahead of time if they are flying to camp. Current security measures make it less sure than in prior years that a given flyer’s luggage will reach the correct destination. We encourage you to ship your luggage ahead of time because it helps things to go more easily on arrival day, even if you are driving to camp. If you do ship, we will have your child’s luggage waiting for them in their bunk when they get to camp.

CARE PACKAGES:
We regret that we cannot accept food care packages. Please do not send any. Campers do not receive food that is sent to them. There are already plenty of treats ‘built in’ to camp life: one candy bar three times each week from the camp store, sweet desserts in the dining hall, and snacks at special events. Food in the bunks invites chipmunks and ants, and this can quickly get to be very yucky! We recommend sending care packages of musical items, newspapers, books, stuffed animals or comics.

How Do I Keep In Touch With My Camper?

LETTERS:
We will encourage your camper to write to you, and we hope that you will write back. Campers of ALL ages really do look forward to hearing from home, even if they seem delinquent in writing to you! If your camper is leaving home for the first time, it would be wise, when writing, to minimize details of anything going on at home that is either especially exciting or upsetting. A positive camp experience is your goal and ours; it will ease your camper’s adjustment to a new environment if the contents of your letters are mainly about making new friends and other camp related opportunities with minimal reference to subjects which may cause homesickness. It is great for campers to have a letter waiting for them when they arrive at camp! You may fax letters to your camper at our regular fax number: 207-647-3259, and they may fax letters back to you at your home or office. Our fax line is available all the time for incoming or outgoing faxes except for when we unplug it in the occasional thunderstorm. Please print your camper’s name clearly at the top of the fax. Of course, you can always use regular US Mail (aka snailmail) as well, which is delivered and sorted into bunk mailboxes every day except Sunday.

General Bunk1 Information

Bunk1 Registration and Access Link

We are continuing our affiliation with Bunk1.com, who can translate your camper’s faxes directly into your email and send your emails back to them through a centralized daily transmission to our office. Our secretary will print out your emails each day and put them in the cabin mailboxes with other faxes and letters, to be retrieved & distributed later in the day by the cabin counselor. This is an optional, fee based service and the flyer posted on our website explains all the details. At the same time, we continue to offer the traditional faxing mentioned previously at no extra charge.

MAILING ADDRESS:
After May 24, please mail your checks, forms and other stuff to us directly at camp: 50 Encore/Coda Lane, Sweden, ME 04040. After May 24, any mail sent to us in Boston will be automatically forwarded to us in Maine, but it is much faster if you mail it directly to us at camp, as the forwarding adds about an extra week to the trip.

TELEPHONE:
Campers will be allowed to use the camp phone for their weekly call home, if it is their birthday, or in the event of a genuine family emergency.

What is Work/Study?

WORK/STUDY OPENINGS:
Sometimes at the start of a session, we will ask for additional upper camps (Intermediate or Senior) to join our work/study team in both 1st and 2nd Session. Campers on Work/Study work for about an hour each evening cleaning up one of the big halls, either for a specific concert that evening, or just a general clean up. Work/Study campers are paid an hourly wage for their efforts and receive their pay at the end of the summer. Most of the kids earn about $100 in one session. Work/Study priority is given to campers who are on scholarships. Any interested campers or parents should contact Cara for more information.

What Does Camp Do When Problems Arise?

PROBLEM SOLVING:
We will do everything possible to help your camper address problems they may encounter at camp. We work together as a staff to help campers with issues they may be having, and often contact parents in this process for background information, advice, or just to give you an update. It has been our experience over many years that this team approach is helpful to all concerned and provides an effective feedback loop on all sides. Sometimes a camper who is reluctant to confide in a staff member will share a problem with their parents in a letter or fax. Should this happen, please contact us so that we can discuss the issue together and develop possible strategies. We want to know if your child is experiencing a problem so that we can work on it.

Sometimes a camper is unhappy about a situation in camp but tells no one—not their counselor or teacher or parents. Please have a discussion with your child prior to camp to remind them of the importance of letting a staff member know that they are unhappy about something in clear terms. After all, the only way that we can work on a problem is if we know about it!

We will mention this again to all the campers and staff members at the beginning of each session, and conduct cabin workshops on the subject as well. Again, we want to know if your child is experiencing a problem so that we can work on it, but they have to let us know about it! ​

Important Camp Policies

Our Camp Values & Mission

Please familiarize yourself with our Camp Values and mission, and go over them with your camper.

 

Cell Phone/Electronics Policy

If campers have a cell phone, they can bring it to camp, and we will confiscate it on the first night of camp, and return it to them only for *Trip Days when they will have time to call home.

During the rest of our camp program, there will be no phones, tablets, video games, or screen-watches allowed.

We will have camp photographers at every camp event and concert, so there will be plenty of photos from the summer!

Here’s what your camper can bring: 

  • Phone (ONLY for call-home days)
  • Cameras (disposable, digital, polaroid…)
  • Music-playing devices without screens (old iPods, mp3 players…go vintage this summer!)
  • Tuners and metronomes
  • Other electronics that don’t have screens
  • Old-school watches
  • We will also have items available for campers to use if they are not able to afford to bring them to camp.

* Trip Days will happen 1-2x per session when we take campers off-site for activities such as going to the beach, hiking, attending Sea Dogs Baseball game, seeing a movie, going bowling, etc. During the down times on trip days, campers will have access to their phones. If campers don’t have phones, Encore/Coda will provide a way to make calls home.

Medical Information & Policies

Please check our Covid Policies Page for the most up-to-date information about our Covid plans and policies! We are requiring Vaccinations for ALL campers and staff.

ASTHMA INHALER or other SELF-ADMINISTERED MEDICATION:
if your child uses an asthma inhaler, EPI-pen or some other kind of self administered medication, you need to complete some paperwork mandated by the State of Maine department of Health and Human Services. These forms are available to download here.

INFORMATION SHARING:
We will be sharing the medical information you send us on your child’s medical form on an as-needed, confidential basis with the health professionals we normally use every summer, including:

  • Our regular, in-camp nurses and/or doctors
  • Members of our staff who we feel should know
  • North Bridgton Family Practice (designated camp doctors)
  • The Bridgton Hospital (and emergency room facility)
  • Area specialists as needed (Orthopedists, Dermatologists, etc..)

NURSE CONFERENCES: If you have anything you would like to discuss with our nurses, we strongly encourage you to do so before you arrive at camp. Beginning 1 week before each session begins, you can set up an appointment to talk with a nurse about your child’s issue and/or medication by calling the main camp office at 207-647-3947.

PRESCRIPTION MEDICINES:
Please mail all medicines directly to us. Our camp nurses will keep them securely stored in our healthcare center, and will dispense them to your camper per the prescription instructions. Maine state law specifies that all medications must be kept securely at the healthcare center. All medications must be properly labeled and in the original prescription containers! Otherwise, by law, our nurse may NOT administer them!

SUPPLEMENTS and VITAMINS:
The State of Maine also requires that all dietary & nutritional supplements and vitamins by given to the nurse to be kept locked at the healthcare center and dispensed by our medical staff. Like prescription meds, these must all be in the original, labeled containers. Please do NOT remove them from the original labeled containers, or our nurse will NOT be able to dispense them.

TREATMENT NOTIFICATION POLICY:
Should your camper require medical care of a routine nature [Tylenol for a headache, band aid for a cut, strep throat culture, etc.] we would probably not notify you by telephone unless there was a special reason to do so. If, on the other hand, your camper twists an ankle badly, or breaks a finger, or requires some other substantial care, we will always notify you by telephone as soon as possible.

SPECIAL MEDICAL NEEDS:
Our healthcare team is trained to work with a wide variety of camper medical needs. Please let us know if you have a specific healthcare related concern, and we will work closely with you to make sure your camper has a safe and healthy summer. Prior to Camp, we will connect families whose campers have special medical needs with our nursing staff upon request, and every family dropping off campers in person will have the opportunity to meet and chat with our Camp Nurses.

Behavior And Camp Dress Code

We expect respectful, appropriate conduct during the summer and make this very plain to all the campers and staff members during orientation. We do not accept pranks, foul language, teasing, bullying, or any other form of harassment, and take such matters seriously. Please review our Behavior and Dress Code with your camper prior to camp. Repeated infractions of the camp behavior code could result in dismissal from Camp.

We look after the beautiful natural surroundings of camp as well as all instruments and equipment in studios and bunks in the same way we would care for our own belongings.

We obey all camp rules, and state and federal laws in an effort to keep everyone healthy.

RESPECT FOR INDEPENDENCE

Campers may keep electronic devices that do not have a cellular voice or data connection and have access to their cell phones on trip days.

RESPECT FOR APPEARANCE

We dress appropriately, with consideration for others, and a bit of modesty. We wear some sort of footwear at all times.

DRESS CODE

Clothing should be appropriate to the activity and weather conditions of the day and should not contain vulgar language, insulting or degrading messages, make mention or have pictures of tobacco or alcohol products or other inappropriate messages for children. The following points also apply:

  • Underwear and midriffs should be fully covered.
  • When your hands are by your side, shorts & skirts should extend to at least the end of your thumb.
  • Footwear should be worn at all times.

In line with the European General Data Protection Regulations, this is our GDPR statement which helps you to understand clearly who we are and how we use and protect any information that you give us when you use our website or contact us by another means.   Camp Encore/Coda is committed to ensuring that your privacy is protected and that there is transparency with regard to the processing of your information.  Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this statement.

Camp Encore/Coda will collect and hold your data for the purpose of delivering services and information to you that you have requested and to correspond with you about our camp.  Your data is stored and managed on our computers.  If you have requested information from Camp Encore/Coda, are registered as an alumni, completed a staff application, or submitted a completed registration form to us with payment for a summer camp we will include you on our mailing list for our regular newsletter and occasional news of Camp Encore/Coda promotions and offers. You can opt out of this communication permanently at any time.

The information we collect is only used for these purposes and only kept for so long as is necessary to achieve these purposes.   We will never pass your information to any party outside of Camp Encore/Coda unless required by law to do so.  We will never give, sell or lease your personal information to anyone outside of Camp Encore/Coda.

Insurance & Financial Policies

INSTRUMENT INSURANCE:
The camp does carry comprehensive insurance, which covers your child’s instrument, minus a deductible. However, you are better off to have your own insurance as well, to cover the deductible gap. We recommend that you ask your insurance agent adding your camper’s instrument and any other expensive belongings to your existing Homeowner’s Comprehensive Policy as scheduled coverage. This will guarantee proper coverage in the event of any mishap.

PAYMENT POLICY:
Full payment must be received before we can accept your child into camp. Please mail all payments directly to us in a timely way and do NOT send final checks with your camper.

POCKET MONEY:
Because we organize our camp in such a way that cash transactions are not a part of day-to-day life, campers do not need to have any money in their possession while at camp. The fees that you have already paid take care of all expenses, small and large, including all trips, treats, extras, etc.., as well as any small individual items your camper may require. We want all campers to be treated equally by other campers and staff members regardless of their ‘real world’ financial status. The best way to achieve this goal is to remove $$$ from the equation. Therefore, any pocket money left over from traveling to camp will be stored for campers and returned when they depart.

TIPPING:
Please do not tip our staff people. Tipping invariably leads to favoritism, which is certainly not what we want to encourage! If you would like to show your appreciation for a staff member, please speak with us about the best way to do it.

WORK/STUDY OPENINGS:
we are looking for a few more upper campers (Intermediate or Senior) to join our work/study team in both 1st and 2nd Session. Campers on Work/Study work for about an hour each evening cleaning up one of the big halls, either for a specific concert that evening, or just a general clean up. Work/Study campers are paid an hourly wage for their efforts and receive their pay at the end of the summer. Most of the kids earn about $100 in one session. Any interested campers or parents should contact Cara for more information.

PROBLEM SOLVING:
We will do everything possible to help your camper address problems they may encounter at camp. We work together as a staff to help campers with issues they may be having, and often contact parents in this process for background information, advice, or just to give you an update. It has been our experience over many years that this team approach is helpful to all concerned and provides an effective feedback loop on all sides. Sometimes a camper who is reluctant to confide in a staff member will share a problem with their parents in a letter or fax. Should this happen, please contact us so that we can discuss the issue together and develop possible strategies. We want to know if your child is experiencing a problem so that we can work on it.

Sometimes a camper is unhappy about a situation in camp but tells no one—not their counselor or teacher or parents. Please have a discussion with your child prior to camp to remind them of the importance of letting a staff member know that they are unhappy about something in clear terms. After all, the only way that we can work on a problem is if we know about it!

We will mention this again to all the campers and staff members at the beginning of each session, and conduct cabin workshops on the subject as well. Again, we want to know if your child is experiencing a problem so that we can work on it, but he/she has to let us know about it! 

VISITING: We will have Family Visiting Days each session, on the day before departure. These days are full of performances and fun!
